This often raises questions about how BetterBoard’s fund solution works. Here you will find answers to some of the most common questions about our digital platform. Our solution assists you throughout the entire process – from the moment an application is received and reviewed, until it is either approved or rejected.

  • What is a fund solution from BetterBoard?
    BetterBoard’s fund solution is a digital platform that brings together grant applications, their administration, and the board’s work in your foundation – all in one system. The solution makes it easy to manage grant administration: applications, evaluations, and distributions – securely, efficiently, and clearly.
  • Does the solution require installation?
    No, the fund solution is 100% cloud-based. It requires no installation and works on computer, tablet, and mobile. As long as you have an internet connection, you always have access to the solution.
  • Is it a lengthy process to set up a fund solution?
    The process is both quick and straightforward. We need some information – about ownership, administrators, and the details you want applicants to provide in their applications. Once we have that, your solution is typically ready to use within a single working week.
  • What does a digital fund solution from BetterBoard cost?
    The price primarily depends on the number of grant applications and the size of the distributions. We base it on the foundation’s level of activity – ensuring that both small and large foundations can benefit from a professional digital fund solution.
  • Which type of foundation is the fund solution suited for?
    The solution is suitable for both charitable and commercial foundations, regardless of size – from family foundations to larger foundation-driven projects and grants.
  • How do we get access to use the solution?
    BetterBoard sets up the digital fund solution for you, including forms, emails, etc. To provide access, we only need one or more administrators to connect the solution to. Administrators can then create additional internal users and assign access levels. Applicants do not need to be created manually – they are added automatically when submitting applications.
  • How do we get started with the fund solution?

  • What features are included in BetterBoard’s fund solution?
    It includes, among other things, customized application forms, management of application periods via links, sorting and internal communication on applications, e-signatures (including MitID), a register of grantees, a board portal, and much more. This means the entire process around grant applications and how they are handled in your foundation is built into our solution.
  • Can the application flow and multiple grants be managed in the same portal?
    Yes. You can create one application form per purpose or project you want to support. Each form generates a link that can be placed on the foundation’s website. These links can be activated or deactivated in line with the opening and closing of application rounds, and the incoming applications can be grouped by purpose or project.
  • How are received applications handled in relation to GDPR?
    The solution includes a GDPR function that automatically deletes data when it is no longer required to be stored. Applications that result in a rejection are deleted quickly, while approved applications are stored for a longer period.
  • Can the board use the same solution for meetings and minutes?
    Yes, BetterBoard’s fund solution includes a full board portal, where the board can manage meeting invitations, agendas, minutes, and e-signatures. Applications can be attached to the agendas of the specific meetings where the foundation’s board will review them.
  • How does application and communication with applicants work in the fund solution?
    Applicants apply via a customized form, created to collect applications for a specific purpose, project, or grant. In practice, BetterBoard generates a link to the form, which can be placed on your foundation’s website. This allows applicants to apply directly. Once submitted, applications are automatically gathered in BetterBoard’s fund solution, where they can be sorted and linked to a specific meeting. The board can then assess which applications to approve. The system also manages communication with applicants, automatically sending emails such as receipt confirmations, rejection notices, or approval notifications.
  • Do all users have the same access rights?
    If all internal users are set up as administrators, they will all have the same rights and be able to perform the same tasks. In practice, however, we recommend using different access levels depending on the individual’s role. For example, only administrators can link an application to a board meeting, approve or reject applications, and set final grant amounts. It is generally a good idea to have at least two administrators in a foundation, so there is always backup if one is unavailable. Access levels are assigned and can be adjusted by the administrator.
  • How is data stored and secured in the fund solution?
    All data is stored in a secure and encrypted digital solution with two-factor login and 256-bit encryption. This means that the administrator(s) – there can easily be more than one – have full control over who has access to the solution.
  • Do we get support and onboarding with the fund solution?
    Of course. If you have daily questions, we offer Danish support via chat, email, or phone. Early in the process, we provide onboarding for both the board and administrative staff in your foundation, typically via Teams. We ensure that everyone involved is well-prepared so that work in the solution can begin as quickly as possible.
  • When I buy a solution from BetterBoard, who ensures it works?
    Our development team in Kolding is responsible for the technical side of the solution. They handle the development of new features, bug fixes, and necessary security updates, which are rolled out on a daily basis.
